The All Reports Dashboard is the daily control view for the whole operation. Every serviced site is listed with its occurrence count, the time of the last occurrence, missed check-ins, incidents, and the last incident time, and any report older than thirty minutes is flagged in red so a silent site is impossible to miss. A second table covers sites subcontracted to your organization, and the date selector lets managers review any day in the record.
The Occurrences tab collects the routine activity reporting that is the core of guarding work. The Daily view groups every occurrence into one report per site per day, ready to be opened, emailed to the customer, or downloaded as a PDF — turning a high volume of individual entries into something management and customers can actually read.
The Sequence view lists occurrences individually in the order they were recorded, each stamped with its ID, timestamp, site address, GPS geotag, and author. Entries with attached media are flagged, redacted entries are marked, and a warning indicator appears whenever a geotag does not match the site — proof that each report was written where and when it says it was.
Every daily occurrence report can be produced as a branded PDF. Each entry carries its timestamp, the reporting employee, GPS coordinates, the weather at the time of writing, the officer's notes, and any photographs taken on shift — the kind of complete, defensible record that customers and insurers expect.
The Near Miss tab captures the hazards that could have caused harm but did not — wet floors without signage, unsecured loads on a dock, faulty emergency lighting, exposed wiring, delivery vehicles reversing without a spotter. Every report is typed, categorised, and tracked through unresolved, resolved, and disregarded views so health and safety issues get closed out instead of forgotten.
Selected near miss reports can be actioned in bulk from the same page. The Action menu emails a set of reports to any recipient with a custom subject and message, filters the list down by author or type, or sends the selection straight to print.
The Incidents tab is the organization's incident management system. Every incident is listed with its report number, timestamp, site, name, type, category, and subcategory — from unauthorised entry and shoplifting through vandalism, disturbances, and medical assists — and can be worked through unresolved, resolved, disregarded, or daily views so nothing is left open by accident.
Incidents can be distributed without leaving the list. Tick the reports that matter, choose Email from the Action menu, and send them to management or the customer with a subject and message; the same menu filters the list by author or type and prints the selection.
Opening an incident gives investigators a complete case file. The Details tab records the author, priority, date and time, the weather at the time of the incident, the customer and site address, both the location and GPS geotags, the complainant's contact details, a civil recovery number, and the incident, offence, and subcategory classifications.
The Notes tab builds a running log on the incident. Each note is stamped with its date, time, and author, notes can be redacted rather than deleted, and the full sequence stays with the case so anyone picking it up later can follow exactly how the situation developed.
The Subjects tab links everyone and everything involved in the incident. Persons are attached with their date of birth and role — subject, complainant, or witness — alongside the addresses, vehicles by make, model, and plate, and organizations connected to the case, building a searchable relationship record instead of names buried in a narrative.
The Attachments tab ties related reports to the incident. Occurrences and other incidents can be attached so a series of small entries is visible as one connected event — essential when a pattern of activity only becomes clear once the individual reports are read together.
The Documents tab holds the evidence. Images, video, audio, and files are uploaded against the incident with the uploader and timestamp recorded, one document can be marked as the main image used in reports, and anything sensitive can be redacted while the upload record itself is preserved.
The Resolution tab closes the case. The incident is assigned to the person responsible, marked resolved, not resolved, or disregarded, and a resolution summary is written up. Whether a recovery notice was delivered is recorded, and every update is kept with its author so the resolution history stands up to review.
The Report tab renders the incident as a finished report. Summary and detailed formats are produced on demand and can be emailed directly to management or the customer, so the document that leaves your organization is generated from the case file rather than retyped from it.
The Alerts tab controls who is notified about the incident. Email recipients are added to the case with a record of who added them, keeping operations, site supervisors, and client contacts informed automatically as the incident develops.
The BOLO tab publishes a one page Be On the Look Out bulletin straight from the incident. A three step process selects the audience, adds the specific groups that should receive it, and attaches any cautions responders need to be aware of — while keeping details that could compromise an ongoing investigation out of circulation.
The History tab's Access view is a full audit trail of the case file. Every view, note, attachment, and edit is recorded with its timestamp and the user responsible, so it is always clear who touched an incident record and when.
The Details view keeps every prior revision of the incident. Each saved version is listed with its timestamp and author and can be opened for comparison, so amendments to a report never quietly overwrite what was originally recorded.
The Involved view records the people, addresses, and vehicles that were removed from the case, showing what was removed, by whom, and when. Nothing disappears from an incident file without a trace.
The Forms tab holds the custom forms your operation runs on — daily activity reports, equipment handovers, health and safety walkthroughs, site opening checklists, vehicle inspections, and visitor access logs. Each form is assigned to the department that owns it, so security operations, health and safety, mobile patrol, and concierge each work from their own set.
Opening a form shows every submission it has collected, listed with its ID, timestamp, and the employee who completed it. Any entry can be reviewed on screen or exported to PDF, giving supervisors a straightforward way to confirm that required checks were actually carried out.
Every completed form prints as a clean branded PDF, with each field and its answer laid out for the reader — site, shift, patrols completed, areas covered, equipment faults found, and the officer's closing notes. It is a customer ready document produced straight from what the guard entered on their phone.
The Patrols tab records guard tours as they happen. Each checkpoint scan is logged with the time, the site and the exact location within it, the NFC tag ID, the GPS coordinates, and the officer who scanned it. A warning marker appears whenever the GPS reading does not match where the tag is supposed to be, catching both missed patrols and checkpoints that have been moved or tampered with.
The Analytics tab opens on Reports Graphs, plotting total occurrences and incidents month by month across the selected year. Volume trends show whether reporting is keeping pace with the size of the operation, and the whole view exports to PDF for management reporting.
The Crime Map plots recorded offences geographically over any date range, filtered by crime type and item category. Seeing where thefts and other offences cluster lets a loss prevention team identify the vulnerable locations and reallocate coverage to the places that actually need it.
Theft Statistics measures loss and recovery site by site. Each address shows hours worked, arrests, thefts, loss and recovered amounts, hours per arrest, and average loss and recovery per theft, so customers can see the return on their security spend and managers can compare performance across the whole portfolio. The data downloads to Excel in several formats.
Property Theft Statistics breaks the loss down to the item level. Every stolen item is recorded with its SKU, description, unit value, quantity taken, quantity recovered, and the resulting loss and recovery amounts — showing exactly which products are being targeted so they can be protected before the next attempt.
Theft Graphs AI plots recorded thefts by month and time of day, then projects the pattern forward. The predicted window is overlaid on the historical data so loss prevention teams can position staff at the hours and locations where the next theft is most likely — turning a backward looking record into an operational plan.
Arrest Graphs plots apprehensions by month and time of day for the selected year, with a breakdown chart for each individual month. The distribution shows when arrests are actually being made, which is the clearest indicator of when loss prevention coverage is earning its keep.
Arrest Statistics ranks the loss prevention team by result. Each specialist is listed with hours worked, hours per arrest, arrests for the month, and the total loss and amount recovered, with organization totals across the top — an objective, month by month record of individual performance.
The Access Control tab records who is entering your sites. The Wellness view logs the screenings taken at the door — name, contact number, temperature, the shift it was recorded against, and the officer who entered it — filtered by author and viewable entry by entry.
The Freight view tracks deliveries and commercial vehicles on site. Each arrival is recorded with the driver, carrier, licence plate, the dock or bay assigned, and a status showing whether the vehicle is still on premise — so loading areas stay controlled and every vehicle is accounted for.
The Units page divides a security department into the specialised teams it actually runs on — mobile patrol, static guarding, control room, loss prevention, event response, and concierge. Each unit records its member count and a description of the coverage it provides, so when a customer requests a special event or overnight patrol you can dispatch the team that already holds the right skills and experience instead of assembling one from scratch.
The All Settings page controls automated report distribution. Recipients are added for daily occurrence reports, incident reports, and live incident reports, so customers and management receive the reporting they have contracted for without anyone having to remember to send it.
The Situation page opens on an All Sites view that plots every serviced address on a live map and summarises the entire operation beneath it. Managers see the number of addresses and square footage protected, guard and investigator shifts with current coverage, standby and available numbers, and the day's reporting totals broken down into occurrences, incidents resolved and unresolved, and incident types from accidents and disputes through hazards, maintenance, medical calls, and offences.
Switching the view to Active Sites narrows the map to the properties being serviced right now and lists each one with its building name, address, customer, and the number of occurrences and incidents recorded against it. It is the fastest way to see which sites are live and which of them are generating the most reporting.
The Current Events view maps developing incidents and lists them in priority sequence beneath the map. Each entry shows its priority, report number, timestamp, address, incident type, the responder it is assigned to, and its resolution status, and any selection can be reassigned or exported to PDF — so the most urgent situations are always at the top of the queue.
The Current Guards view tracks the officers on shift, plotting their last known positions on the map and listing each guard with the site they are covering, their shift start and finish times, and the occurrences, incidents, and tasks they have logged. Knowing exactly where staff are at all times protects lone workers and lets dispatch send the closest guard to a developing situation.
The SureCommand List of Security Guards page gives managers one roster of every officer on the operation, with licence status counters across the top — valid, expiring within thirty days, expired, and no access — so credential problems surface long before they become a compliance issue. Each guard row carries their licence number and expiry, accumulated timesheet hours, lates, skipped location verifications, missed shifts, tenure, seniority, security rank, points, and reporting manager, giving a complete picture of your labour resources at a glance.
The Site Addresses page lists every property your organization services, together with its building name, the customer it belongs to, and the area manager and site supervisor responsible for it. Check marks show which sites carry standing orders and which have active alerts, while occurrence and incident counts reveal at a glance where the activity is concentrated. Sites can be filtered by status and city, and bulk actions applied to any selection.
The Trespass list records everyone who has been formally trespassed from a site, with their photograph, the date the notice was served, how long it runs — thirty days through to permanent — the location it covers or all sites, and the officer who issued it. Guards can identify a banned individual on sight and know immediately whether the notice is still in force.
The Suspicious list tracks individuals who are being watched but have not been formally banned. Each entry carries a photograph, the date, the duration of the caution, the site it applies to, and the officer who raised it, giving guards situational awareness without turning an observation into an accusation.
BOLO is an acronym for Be On the Look Out. The BOLO page collects every bulletin the organization has issued, each showing the timestamp, site, offence type, category and subcategory, the accused, whether supporting documents are attached, its resolution status, and the officer who raised it — keeping the whole security team aware of exactly who and what to watch for.
BOLO Groups control who receives each bulletin. Audiences are built once — all security staff, site supervisors, area managers, night shift patrol, a geographic division, or a specific client's contacts — and then selected when a BOLO is issued, so sensitive information reaches exactly the people who need it and no one else.
